SMARTT Update, October 2009
- Steps to Start the New Fiscal Year
The Steps to Start the New Fiscal are posted on the ACLS website under SMARTT System Information. Please review the steps carefully when starting data entry for FY10.
- Since there are no new assessments this year, the copy icon is available for all tests administered in FY09. The copy icon appears next to all May or June assessments so programs can click on this icon if they want to use the assessment as a pre-test for FY10.
- Update Work E-mails for Staff
Please make sure that correct work e-mails are entered for all agency, project, and site coordinators. If a staff member has left your program, be sure to exit the staff member so he/she will not continue to get our ESE/ACLS updates.
- Our ACLS listservs are based on the work e-mails entered by the program in the staff section in SMARTT. ACLS uses these listservs for periodic mailings and for special announcements, so please make sure that current staff have the correct e-mail listed in the work e-mail field.
- GED Data Matching - Match Completed on 10/9/2009
The last GED data match with Oklahoma Scoring Service was completed on 10/9/2009.
- Forty seven (47) records were matched for students who attended classes in FY09. Out of this thirty nine (39) students set the goal which is eighty three percent (83%). Eight (8) students or 17% did not set the goal and will not be included in the Federal Report.
- Remember that we cannot include in the Federal Report the achievement of any goal, if that goal was not set. It is important to meet with students on a regular basis to make sure goals are set, new goals are identified, and the dates set are entered into the system
- Performance Standards Reports for FY09 Are Now Available in Cognos
The FY 09 Performance Standards Reports for Community Adult Learning Centers, ABE for Incarcerated Adults, and Even Start are now available in the Adhoc Section in Cognos.

SMARTT Training Schedule
- The updated training schedule is now posted. Note that the scheduled trainings for October, November and December are listed. Four SMARTT New User Trainings as well as several SMARTT Updates were held in September and October. Some Introduction to Cognos trainings are also scheduled in October - December.
- Note that there is now a DL version of Intro to Cognos that is now available at the Southeast SABES website. This is a very easy course to take and to understand; you only need basic computer skills. There will be no face-to-face Intro to Cognos workshop conducted in the southeast region this fiscal year. This course is open to everyone.
- There are four goals of the course. First, it introduces you to the Cognos environment. This is the output mechanism for all that data you enter into SMARTT. Second, it teaches you enough so that you can get to your site's current performance numbers easily; anytime you want. Third, if offers a simple workshop without requiring you to drive to Bristol CC. Fourth, it gives you a place where you can easily go back and allow you to review what was taught. This course will be available permanently for you to go back to anytime you want to re-watch any of the 20+ videos.
- Signup is easy, just go to the SABES Calendar and click on the link for Southeast below and it will be right at the top of the calendar; what could be easier!!
- In order to ensure that the program has at all times the required two staff trained in SMARTT and Cognos, program directors are requested to have appropriate staff attend the scheduled upcoming trainings. Programs are encouraged to have several staff attend SMARTT and Cognos update trainings to be aware of additional new features. Please notify the SABES regional office as soon as possible with future training needs, so that SABES can schedule appropriate trainings. Check the SABES calendar for dates and times.
