FAQ Guide to the FY17 SMARTT Intake Form

  1. Why do we need a new form?
    Under the Workforce Innovation and Opportunity Act (WIOA), programs are required to identify those adults who, in addition to being eligible for services, face one or more "barriers to employment." This requirement is intended to shed light on how well students with barriers are being served by the workforce system as a whole. As a result of this requirement, ACLS needed to update both the intake form questions and the intake data fields in SMARTT to fully comply with the law's intent.

  2. What is different about this form?
    The cosmetic changes in font and formatting will be apparent, but most of the content/questions are exactly the same or very similar to the previous form. The one big exception is the newly added Barriers to Employment section.

  3. Do we have to use this form?
    Programs may use whatever form they wish, paper or electronic, as long as those versions solicit and collect all of the same information as this official form.

  4. When do we start using this form?
    With any and all students who have not already gone through an intake process, programs should start using this form right away. Further, at the beginning of each fiscal year, starting in FY18, programs are expected to complete a new intake for all students, including those who are continuing from the previous year. From that point on, the intake of all students must be designed to collect all the information required in this form.

  5. Have the Student Information fields in SMARTT been aligned to the form?
    The fields have not been aligned yet. Some of the fields have been updated, but by and large, the sequence and wording of the questions in SMARTT do not seamlessly align with the sequence and wording of the questions on the form. More important, the Barriers to Employment fields have not yet been created.

  6. If they aren't aligned, what do we do?
    For now, continue to enter student information in SMARTT according to the sequence and wording found in the existing data fields. This new form contains all the information needed for entering data since most of the questions remain unchanged. The Barriers to Employment data can only be entered once SMARTT has been fully aligned which will most likely happen in FY18.
