SMARTT Update, March, 2013

  1. Site Assessment Reports
    We are in the process of modifying all the FY13 site level assessment reports in SMARTT to include students who tested at other sites. This report section will also include the new TABE CLAS-E Writing test and students who took this test will be also be included in the "Primary Set" and "Primary Not Set" reports. Please read the assessment mailing that explains the change in the last exception in the Primary Area report. Currently the exception states "Students with an intake date on or after 4/1" will be excluded. It will be changed to "Students with a pretest given on or after April 1st who have less than 65 hours of instruction" will be excluded.

  2. Update Employment for NRS Cohorts
    We just received clarification from the US Department of Education stating that programs only need to update the employment status for students who re-enroll after exiting. Students who remain enrolled without exiting in the new program year (e.g., were enrolled in June and continued into July or anytime in the next fiscal year), do not need the employment status updated. We will be changing the logic that displays the names on the "Update Employment" list, and we will notify all programs when this list has been updated. If you have already updated the employment status, you do not need to change the status.

  3. Update Project and Site Coordinator Names and E-Mails
    Please make sure that appropriate project and site coordinator names are entered in the project and site screens so that appropriate staff receive all of our ACLS announcements. If a staff member has left your program, be sure to exit the staff member so he/she will not continue to get our ESE/ACLS updates. Correct work e-mails need to be entered in the staff screens also. Our ACLS listservs are based on the work e-mails entered by the program in the staff section in SMARTT. ACLS uses these listservs for periodic mailings and for special announcements, so please make sure that information entered is accurate.

  4. SMARTT/Cognos Trainings and Support
    Please check the SABES calendar for any upcoming trainings. If you need SMARTT or Cognos help, please send an email to smartthelp@gmail.com since the SABES techs need an e-mail to track all requests. For an email request, be sure to include a clear subject header. You do not need to include detailed information in the initial email to smartthelp. A short subject is adequate because once you send an email, you will receive an auto-response containing a link to a form. Please fill out this form completely and hit the "Submit" button at the end. You will be contacted either by phone or email shortly afterwards by a SABES field technologist if he/she needs further information. Please do not contact "smarttsupport" since that is an e-mail address for the SABES techs to use to submit any issues to the SMARTT team.
