SMARTT Update, August 2013

  1. SMARTT System Moves to FY14 on Thursday, September 5th at 5 PM
    Programs have until the end of the day on August 31st to enter June student basic information and June attendance data. The SMARTT system will officially be moved to FY14 on Thursday, September 5th at 5 PM. All sites with approved program plans AND have submitted the site rollover request will be moved to FY14 at that time. After September 5th, sites will then immediately be moved to FY14 once the site rollover request is submitted and the program plan has been approved for FY14. Please note that once sites are moved to FY14, the partial intake feature which allowed programs to enter a small amount of information for newly enrolled students during the summer in order to generate a SMARTT ID for MAPT testing in July and August is no longer available. Programs must convert these newly created partials to full intakes as soon as possible after site rollover.

  2. Late Data Entry Schedule for FY14
    Please remember that the late data entry policy allows an extra month for July data to be entered so July intakes and attendance data must be entered by October 31st. Listed below is the schedule for data entry:

  3. SMARTT Training Schedule
    Check the SABES calendar for dates and times of trainings over the summer. To register for these and other trainings, please go to SABES Calendar and click on your region; or, you may contact your regional office directly. Note that the trainings will be offered in various formats - face to face, asynchronous (which allows users to work at his/her own time and schedule, without live interaction with the instructor), or synchronous (which means "at the same time" which involves interaction with an instructor via the Web in real time).

    These are the trainings that will be offered in FY14:

    • SMARTT Update: Starting the New Year - Includes information about the NRS Cohort screen
    • SMARTT for DL - Supports DL programs to enter their data into SMARTT
    • Cognos for DL - Supports DL programs to understand their Cognos DL Specialty reports
    • Introduction to Cognos (traditional format) - Introduces program coordinators with SMARTT's data analysis tool, Cognos. It will be offered Face to Face in Central and Southeast
    • SMARTT New User Training - Is a new asynchronous DL version of the SMARTT New User training. The traditional face-to-face version may be offered in addition as needed
    • Introduction to COGNOS (new asynchronous DL) - Introduces program coordinators with SMARTT's data analysis tool, COGNOS which will be offered in the spring
    • Introduction to NRS Federal Reports - Is a short asynchronous Cognos update showing program coordinators how to access federal reports and provides supplemental explanatory documentation
    • SMARTT Update: Program Planning - Is a lab session following refreshers offered regionally by ACLS
    • SMARTT/Cognos Update: Reviewing Mid-Year Data - Includes information about the NRS Cohort screen
    • SMARTT/Cognos Update: Ending the Fiscal Year - Includes information on finalizing the fiscal year data
    • Cognos Update: Accessing Performance Standards Reports - Is an asynchronous DL update
    • Intermediate Cognos - Is a new training that focuses on creating views and reports in Cognos, changing settings, and adapting existing reports
    • Generating the MAPT Score Reports - Is an online course which is a pre-requisite for the MAPT for Reading and Math Score Reports training and is designed to support practitioners in setting up a Cognos login, password, and generating Score Reports for the training
