Commodity Offer Sheet Deadline Change and Portal Updates

The Massachusetts Department of Elementary and Secondary Education continues to add new features and functions to our Internet Web site. This has been and continues to be a multi-year process. On Thursday 4/14/2011, we anticipate beginning to incorporate changes that are occurring with USDA's new modern Web Based Supply Chain Management (WBSCM). To assist with smooth transitions, you must complete your April Food Allocation/Acceptance Notice (offer sheet) by close of business (5 PM) on Thursday 4/14/2011 rather than by Friday 4/15/2011. Your May Food Allocation/Acceptance Notice (offer sheet) will be available on Friday, 4/25/2011. You will see new commodity codes displayed. The "A" and "B" codes are changing to a 6 digit format beginning with 100000. Please note that the codes for processed products ("P codes") will remain the same. An example of an old offer sheet versus a new offer sheet is available in the Document and Reference Library under Commodity Program - New Offer Sheet Format May 2011. Also in the Document and Reference Library is a cross reference Excel file of the old/new commodity codes. It can be found in Commodity Program - New Versus Old Codes May 2011. As the codes for processed products ("P codes") will remain the same they are not included in the cross reference file. As part of this transition, your invoices going forward will be available on-line for you to review and print as needed. We will no longer be mailing invoices to you. Once the transition is in place, to view your invoices go to:
  1. Commodity Ordering
  2. View Invoices
  3. Enter the month and year, click Select
  4. In the list provided, click on the Invoice # to view the pdf and print the invoice
Other changes in terminology and code formats will occur with USDA's WBSCM going live. We will notify you of these further changes as soon as we hear of the date for going live. Please contact Marion Browning 781-338-6460 or mbrowning@doe.mass.edu if you have any questions.
