Procedure for FY 2010 CACFP Renewal

We are in the process of reviewing renewal applications for FY 10 for the Child and Adult Care Food Program (CACFP). All documents required for submission as part of the CACFP renewal process for FY 2010 are listed in the "Application Packet" in the Online Document and Reference Library (ODL).
Please use only the FY 2010 forms.
Documents you may have from the previous years will not have been updated and may not be current or accurate.
All online renewal applications for FY 2010 were due August 21, 2009.
All of the components of the online application must say "
Submitted
" not "In Process" for the application to be reviewed by program staff.
Please be sure to include your Agreement Number with any and all correspondence.
Additionally, there is a Certificate of Authority, that must be completed yearly, that is located in the ODL. This document should be printed, completed and two signed copies mailed back to the Department.
To complete your online renewal, access claims, as well as retrieve documents from the ODL, you are required to have a Username and Password. For those of you who have not received a Username and Password we are pleased to attach the link in the next section to register for a Username and Password for the CACFP online renewal process and claims submission. In addition to the documents required to be submitted to ESE, you will find listed as "
Resources
", all forms pertaining to the operation of the CACFP. Please take a minute to familiarize yourself with the contents of the ODL. This is the source of the most current versions of all CACFP documents. We hope you find it a helpful resource to use in administrating the CACFP to participants in the Commonwealth. Of note are the current versions of the forms required to be completed on an
annual
basis by parents/participants. They include Meal Benefit Forms (for both Child Care Centers and Adult Day Health Centers) and Child Enrollment Forms. As a reminder, you must have a current enrollment form on file for each child/participant enrolled in the CACFP. Also listed as a "

and the
July 2009 Addendum to the Policies and Procedures for CACFP Centers
. Please print this document and refer to it throughout the year when questions arise concerning the operation of the CACFP. It details specific Massachusetts' Policies and Procedures for administrating the program and has been updated to reflect current USDA guidelines. Copies of both the
Child Care Claim Training Manual: March 2008
and the
Child Care Application Training Manual: June 2008
are listed under "Training" in the ODL. These are the manuals used as the basis for the ESE's online training this spring and summer. Please refer to these manuals when preparing your online renewal and submitting online CACFP claims. Please do not hesitate to contact Special Nutrition Programs staff at (781) 338-6499 with any questions you may have regarding the online renewal process or the administration of the CACFP.
Usernames and Passwords
If you need to register for a user name and password, you may register online via the following link:

Please note that the link is case sensitive. Once you register, you will receive your Username and Temporary Password via email.
Use
http://www.doe.mass.edu
link to access the main ESE portal.
Locate '--Select Program Area--' (located in the top right section of the page) dropdown menu and select 'Security Portal' option.
Click the orange button located just after 'Security Portal' selection to proceed to the Security Portal login screen.
Use your username and temporary password to login.
Once logged in change your temporary password to a permanent password.
Please note, you are required to change the temporary password at the first login to proceed further to the ESE Security Portal.
Select 'Nutrition School Lunch' link from the available list.
Choose 'Child and Adult Care' link from the left side menu.
Proceed with your FY 10 CACFP application and claim completion.
