ACCESS for ELLs Assessment Update: Preparation for Reporting ACCESS Results

To:Principals and District English Language Learner (ELL) Program Directors
From:Dan Wiener, Administrator of Inclusive Assessment
Paulette Watson, ACCESS for ELLs Program Coordinator
Date:March 26, 2014

Greetings and congratulations on completing the 2014 ACCESS for ELLs test administration earlier this winter, in spite of some challenging weather conditions. Massachusetts schools can look forward to receiving electronic and printed test results from MetriTech, the test contractor, on or about May 19. In preparation for reporting ACCESS results to schools and districts, we are requesting that principals (or their designee) plan to review and correct, if necessary, your school's online demographic data to ensure that reports for students in your school contain accurate information.

Demographic Data Correction Window

Between April 2 and April 9, principals will be asked to log on to the Demographic Data Validation site to correct any discrepancies in their student data for the following fields: Student Names, SASIDs, Dates of Birth, Grades, and "Not Tested" reasons. On April 2, principals will receive two emails from MetriTech: one with a user name and instructions for logging on to the Demographic Data Validation site in order to view and correct any data discrepancies; and another email sent the same day with the school's password.

Reporting of Results

On or about May 19, you should expect to receive a shipment of five different ACCESS for ELLs reports: Parent/Guardian Reports, Teacher Reports, Student Roster, School Frequency Report, and (at the district level) District Frequency Report. Translations of Parent Guardian Reports and Letters to Parents Districts may download translations of Parent/Guardian Report "shells" and sample letters to parents in the language of the home (where available) at WIDA: Download Library to accompany the Parent/Guardian Reports. Letters should be copied onto school or district letterhead, signed by the appropriate school or district official, and sent to the home of the parents with the actual Parent/Guardian Report and translated report "shell."

Interpretive Materials

Information about the reports, and how each should be interpreted and used, is available by reviewing the ACCESS for ELLs Interpretive Guide for Score Reports, available at WIDA website; or by viewing the pre-recorded Massachusetts ACCESS for ELLs Reporting Webinar posted to the WIDA: Download Library. To view the webinar, you will need a WIDA personal account to log in with your user name and password. Additional information on the reporting schedule will be provided in April.
Thank you for your attention to this important information.
